There are four standard search methodologies built into CEO:
Classic Search: Conventional search by combinations such as by folder, document index, document description key words, or any combination thereof.
Dynamic Search: Capability to design your own custom combination of search criteria.
Explore: View All of your documents within each department depicted in a Windows Explorer view of the filing system you have designed.
Full Text Key Word Search: Capability to lookup electronic documents such as emails, spreadsheets, word processed documents and OCR'd documents by key word and key word combinations. Annotations such as electronic sticky notes, highlighting, and redaction can be added to a document without altering the underlying image. A thin client Web Browser Viewer is an available option.
A basic search would be by Folder Name, Document Name, or Date. Simple - with a resulting document(s) to view. Here is where it can get interesting!! Remember the option of attaching various indices? Any defined index that was attached to a document is also searchable. Why is this so helpful? When various individuals or departments are searching for a document they may possess different key pieces of information. For example, in a purchasing process: The originator may possess the Requisition number, Purchasing may possess the PO number and Vendor Name, Receiving may possess the packing slip information, and Accounts Payable may possess the invoice and check number. Any one index or combination of indices will return the appropriate document for any of those individuals searching for that same document. True relational synergy at work! |

Select the desired search criteria from the list of options. This can include Document and/or Folder indices or any combination.

The search can be narrowed by adding more specific information into the criteria, e.g. Name could include those starting with B, or Ba, or entering the whole name. There are also wild card options to capture unknown spellings. Notice NO Name was entered in the search shown. This results in ALL folders housing the described document being displayed.

Clicking on a document in the list will open it for viewing. The user may choose how to view the document – Document only, Document Data only or both in a split screen.
If a user has assigned permissions they may also work with the document, such as edit, email, copy, redact, add annotations, change file information, etc. |

Once filed, a document may be searched for a number of different ways such as by Folder, Document Description, Date or any of the assigned indices. With CEO's secure document control, any search will only return results of those documents which the user has permission to view.
