Import Documents to Queue

Files are imported into the current File Cabinet's Queue for filing, so let's begin by selecting the appropriate File Cabinet.

In the File Documents module, open the File Cabinets menu and select the Correspondence menu item.

You will import Documents into the Correspondence File Cabinet's Queue.

Open the Options menu and select Import Documents to Queue.

In the Import Documents to _Queue - Correspondence screen, browse to the files you intend to import. Use the Drives drop-down box to change drives and the Files box to change the type of files to import. To display all files, choose *.*.

In addition to scanning Documents into the system, the Executive Assistant lets you to import files already on your computer. Any type of file can be imported and filed along side other relevant Documents: as long as the Document's file type has an associated program with which to open the file, the appropriate program will open the file.

Leave "*.jpg;*.pdf;*.tiff" selected in the Files list box and scour your system for JPEGs, PDFs, or TIFs. If you can't find any, select "*.*" in the Files list box and import the "index.html" file that came on the installation CD.

To select a contiguous range of Documents to import, press the SHIFT key and select the first and last files in the range. To select a non-contiguous range of Documents, press the CTRL key and select each file. To select a single Document, simply select the file in the right-hand pane.

If, for some reason, you attempt to import the file currently open in the main filing screen, you will get a permission error. You cannot import the file currently opened by this program.

To preview a file before importing it, click the View File button. This feature only works if the selected file is a JPEG, TIFF, or an image-based PDF.

To delete the file after importing it, place a check mark in the box labeled Selected files will be deleted after they are added to the Queue.

Finally, click the Process button to import the file.

You should see the file or files you just imported in the Files in Queue list box.
