The Utility feature was added to give the advanced User more control over the maintenance of his or her Document archive. The Utility can be accessed in either the File Documents or Scan Documents modules by opening the File menu and selecting the Switch To and then Utility menu items.
Select a File Cabinet from the Available File Cabinets list and click the Remove File Cabinet button to remove the selected File Cabinet. All unfiled Documents will be deleted from the Queue. If the File Cabinet contains a Volume of filed Documents, you must first use Delete Volume.
Use the Make Filing Available button to override another Userīs exclusive use of the File Documents module within a File Cabinet. Only one User at a time can file Documents: this protects the database and Document files from being changed and corrupted by concurrent Users. You may need to override another Userīs exclusive access to the File Documents module in the event that the other Userīs machine crashes without first closing the module.
To make the filing module available while another User files within the same File Cabinet, select a File Cabinet from the Available File Cabinets list and click the Make Filing Available button. Be forewarned, however, CEO does not recommend having more than one User filing within the same File Cabinet.
Select a Volume from the Available Volumes list and click the Delete Volume to delete the selected Volume and all of its filed Documents.
To remove Volumes and Documents from your Document Archive whose physical Document files cannot be found on your harddrive, click the Cleanup button.
A Volume or Document may be absent from your harddrive but still be in the Document Archive if a User deletes or moves a Document or Volume from the location known to the archive.
To rename a Volume, simply select the Volume in the Available Volumes list and click the Rename Volume button. In the Rename Volume dialog box, supply a New Volume Name and click the OK button.
The Executive Assistant keeps a backup copy of each File Cabinetīs Document Archive database in the event that it becomes somehow corrupted, usually due to concurrent Users writing to the same database file. To restore the backup for a particular File Cabinet, select the File Cabinet in the Available File Cabinets list and click the Restore DB button. In the Restore Database from Backup dialog box, click the Yes button to restore and the No button to cancel.
The Options menu item allows you to enable or disable various TWAIN scanner options. If you use an ISIS scanner only, these options have no effect.
